Data Migration
Migrate to Zendesk with Confidence
Data migration is more than moving files. We guide you through a phased, proven process that preserves context, maintains data quality, and ensures your team hits the ground running.
Why most migrations fail
A migration can succeed technically and still fail in practice. The hard part isn’t moving the data — it’s preserving the context, the workflows, and the confidence of your team.
- Context is lost: Ticket history arrives incomplete, internal notes are orphaned, customer interactions don’t thread together.
- Custom workflows break: Your field mappings are wrong, automation rules don’t carry over, and ticket routing breaks.
- Your team loses confidence: Agents can’t find historical data, reports are broken, there’s no single source of truth.
- Downtime is unpredictable: Rushed cutover leaves you scrambling. Running both systems in parallel without a clear cutover plan creates confusion and data drift.
- Compliance gets overlooked: GDPR data isn’t handled correctly, audit trails are missing, regulated data is exposed.

Most migrations treat data as a technical afterthought. We treat it as a strategic priority.
A phased, battle-tested migration process
Every phase is designed to eliminate risk — so you go live with confidence, not crossed fingers.
1. Discovery
Understand your current system, data structure, and business rules. Define exactly what gets migrated, archived, and what gets left behind.
This isn’t “move everything” — it’s “move what matters.”
2. Mapping
Your source data is mapped to Zendesk equivalents — tickets, customers, orgs, and knowledge base content. Field structures and relationships are documented and validated by your team before anything moves.
3. Pre Migration
We run a full pre-migration on a sample of non-production data. Your team reviews it, tests it, and flags any issues.
We fix them and re-run until it’s right.
4. Live Migration
Cutover is planned around your schedule. For high-volume environments we use a phased approach across off-peak windows. For simpler setups, a single planned cutover outside business hours gets you live cleanly.
5. Validation
After go-live, we run acceptance tests to confirm historical context, reports, and data integrity are all intact. Anything that needs fixing gets fixed — and we stay on hand throughout your first week live.
Your Migration Journey
From discovery to go-live: what to expect
Discovery
You walk us through your current setup. We ask the questions, identify the risks, and come back to you with a clear scope, timeline, and fixed cost.
Mapping
You review and sign off on how your data maps to Zendesk. A short session is all we need from you.
Pre-migration
You get a test environment with real sample data to review. If something looks wrong, you tell us and we fix it before anything goes live.
Live Migration
You agree the cutover window. We execute. Your team wakes up to a fully populated Zendesk with all historical data in place.
Validation
You run your acceptance checks with us on hand. We fix anything that surfaces and hand over a full migration summary.

Why work with alboz.
There’s no shortage of tools that claim to migrate your data. What’s rare is a team that understands Zendesk deeply enough to know what can go wrong — and how to prevent it.
Zendesk-Native Expertise
We don’t just migrate data into Zendesk — we understand how Zendesk works from the inside. We know the API rate limits, the import constraints, the field types, and the edge cases that generic migration tools miss entirely. That knowledge is built into every migration we run.
No Silent Data Loss
The most dangerous migration failures are the ones you don’t see. Ticket counts match, the transfer completes, and then three months later an agent can’t find a customer’s history. We run structured checks at every stage — before, during, and after cutover — to catch what automated tools don’t.
Your Data, Your Rules
We don’t move everything by default. We start with a discovery session to understand which data matters, which can be archived, and which should be left behind. A clean Zendesk environment is worth more than a cluttered one with years of legacy noise imported into it.
Fixed Scope, No Surprises
We agree on scope before we start and we stick to it. No runaway project costs, no “that’s out of scope” conversations halfway through. You’ll know exactly what’s being migrated, how long it will take, and what it costs before we touch a single record.
We Stay Until It’s Right
Our involvement doesn’t end at cutover. We run post-migration acceptance tests, support your team through their first week live, and fix anything that surfaces during the settling-in period. You don’t get handed a zip file and a good luck.
Compliance Built In
Every migration is handled with data protection built into the process — not bolted on afterwards. Encrypted transfers, controlled access, audit logging, and data compliance are standard. If you operate in a regulated sector, we adapt the process to meet your specific requirements.
Frequently Asked Questions
If something isn’t answered here, drop us a message — we’re happy to talk through your specific situation.
How do we get started?
Book a discovery session. We’ll review your current system, agree on scope, and come back to you with a fixed migration plan — including timeline and cost. There are no obligations beyond the discovery fee, which is credited in full if you proceed.
How much does a migration cost?
It depends on data volume, source system complexity, and how much cleanup is required. We provide a fixed quote after the discovery session — no hourly billing, no surprise invoices. The discovery fee is credited against the project on commencement.
Which platforms can you migrate from?
We support migrations from most major helpdesk and CRM platforms including Salesforce Service Cloud, Jira Service Management, Freshdesk, Intercom, HubSpot, and custom or legacy systems. Contact us if you’re unsure about your source platform — we’ll tell you honestly what’s involved.
Will we lose any data?
We run structured validation checks at every stage — mapping, test migration, and post-go-live — to catch gaps before they become problems. We also run a full test migration on sample data before touching anything live, so your team can review results and flag issues in advance.
Can you clean up our data before migrating it?
Yes. Many clients use a migration as an opportunity to remove legacy noise — duplicate contacts, closed tickets beyond a certain age, or obsolete custom fields. We can scope data cleanup as part of the discovery phase.
Can we stay operational during the migration?
Yes. The migration runs in the background against your source system. Your team keeps working as normal until the agreed cutover point, at which point we switch over to Zendesk. For high-volume environments we can also run both systems in parallel during a short transition window.
What support do we get after go-live?
We run acceptance tests after migration, stay on hand throughout your first week live, and fix anything that surfaces during the settling-in period. You also receive a full migration summary documenting what was migrated, how it was mapped, and any decisions made during the process.
What about our Zendesk configuration — triggers, automations, SLAs?
These are not migrated — they’re recreated as part of a Zendesk implementation, which is a separate engagement. If you need help configuring Zendesk from scratch alongside the migration, we offer implementation services too. We’ll flag this during discovery if it’s relevant to your situation.
